All transactions between Ruan Designs and the Client are subject to the terms and conditions detailed below.
1. Domain Registration
Domain registration is subject to availability and may change at any time until successfully secured. Ruan Designs will register your chosen domain on your behalf once payment has been confirmed. Domains are renewed annually and renewal fees are the client’s responsibility unless otherwise included in your package.
2. Logo Design & One-Page Website
Clients will receive two (2) logo design options, with revisions included.
Turnaround time: 2–5 business days.
The One-Page Website will be designed in PDF format for desktop preview, including up to 4 content rows. Additional rows can be added and will be billed as a once-off cost.Once the PDF is approved, development will begin. The live site will:Integrate custom PHP forms linked to your domain-based email accounts.Include optional “Pay Now” payment button integration. Be expandable into a multi-page website or advanced CMS/e-commerce system. These upgrades are billed separately based on project scope. The One-Page Website is designed to establish a strong visual identity aligned with your logo and brand direction.
3. Email & Web Hosting
Business Accounts include 4GB of combined hosting space for email and website files.Hosting can be upgraded if space limits are reached.Hosting includes 5 email accounts. Additional accounts can be added at an extra cost.
4. Mailbox Accounts & Setup
Login details for email accounts will be provided in your ClientZone folder under Reelweb Solutions / Email Logins.Clients are advised to use IMAP settings for reliable email setup.Live support is included for mailbox setup:Remote assistance for all clients. In-person assistance limited to Gauteng (booked via ClientZone).
5. Consultations
Clients receive one (1) consultation every 15 days, either in person (Gauteng only) or via Google Meet.Consultations last up to 1 hour and are scheduled monthly.Topics include reviewing your business vision, mission, and areas for improvement across: Website SolutionsGraphic DesignMarketing & Advertising DesignPrinting & SignageThe purpose of consultations is to provide strategic insights to strengthen your public presence and improve customer experience.
6. Monthly Reports
Monthly website performance reports are provided through AWStats. Reports are stored in your ClientZone folder under Reelweb / Monthly Reports. Reports cover site visits, visitor trends, and traffic data to help optimize performance.
7. ClientZone Account
Each Business Account includes access to a ClientZone account, where you can:Manage your account and billing. Access domain, email, and hosting login details.Upload/download files securely. Book consultations.Access monthly reports and design files.
8. Ambassador Discount
All Business Account holders automatically qualify as Ambassadors of Ruan Inc.Ambassadors receive a permanent 25% discount on all future once-off services across Ruan Designs’ service categories.
9. Cancellations
Accounts may be cancelled at any time after the initial 4-month period.Cancellation requests must be submitted in writing via the ClientZone portal. No refunds will be provided for partial months of service.
10. General TermsPayment Terms:
Full payment is required upfront to activate your Business Account. Turnaround Times: Timelines provided (2–3 days for account setup, 2–5 days for logo design, etc.) are estimates and may vary depending on client response times.Revisions: Logo revisions are included as specified. Additional revisions outside scope will be billed separately. Liability: Ruan Designs is not responsible for losses caused by downtime, third-party hosting interruptions, or misuse of login details. Fair Use: Services included in the Business Account are intended for reasonable use within agreed limits. Excessive requests outside scope may be billed separately.
10. General TermsPayment Terms:
Payment is required through the PayFast portal immediately after applying for your Business Account by selecting Proceed and Pay.Billing Cycle: Payments recur monthly on the same day of application.Change of Billing Date: Clients may request a billing date change by emailing accounts@ruandesigns.co.za, using their domain name as the email subject line. The new date will be set to the client’s convenience, subject to approval. Upgrades: Your Business Account can be upgraded as your company grows.
